Guide for Using Digital Stationery® in Gmail

To use Digital Stationery® with Gmail we recommend that you use Gmail's "Templates" feature (previously called "Canned Responses"). Here is a short overview of how it works. Detailed, step-by-step instructions are below.

  1. Create a new "Template" using each of your three Digital Stationery® templates: formal (full name), informal (first name), and referral.
  2. When you compose a new message or reply to or forward a message you have received, go to the "Templates" area and select the template you want to use.
  3. This will insert the selected Digital Stationery® template and you can then go ahead and compose and send your message.

To Set Up Your Stationery in Gmail. (You will do step 3 once for each template.)

Step 1. Install your stationery on your PC

  1. Follow the instructions in the installation email message that we send you.
  2. Click on the link in the email message.
  3. Accept the license agreement.
  4. Run the installation routine. (Override any warnings from your PC; it's safe to run this routine.)

Step 2. Turned the "Templates" feature on in Gmail

  1. Login to your Gmail account.
  2. Click on the gear icon in the upper right corner and select "Settings."
  3. Click on the button with the link "See all settings."
  4. Click on the "Advanced" link on the right side of the menu list at the top.
  5. Next to "Templates" click the button next to "Enable".
  6. Click on the "Save Changes" button at the top or bottom of the screen.

Step 3. Select one of your stationery files and save it as a new "Template."

  1. Using Windows Explorer, go to Documents >> My Digital Stationery (this is a new folder created by our installation routine).
  2. Double-click on one of the stationery template files (these files end in ".htm"). This will display your stationery in your web browser.
  3. Type <Ctrl>-A to select the entire template and <Ctrl>-C to copy it to your clipboard.
  4. Go to your Gmail account and click "Compose."
  5. Click your cursor in the empty message area and type <Ctrl>-V to paste the stationery into the new message.
  6. Now click the three dots at the bottom of the composition window.

  7. In the menu that appears, select "Templates" and then "Save draft as template" and "Save as new template."
  8. Give the template a name, like "XYZ-Stationery-Informal" and click OK.
  9. Repeat 2-8 for the other templates.

Note: Apple users should use the Apple (Command) key (⌘) instead of the Control key (<Ctrl>) for the select, copy, and paste operations described above.

Important Note: Using this same series of steps, you can also type some boilerplate text into one or more of your stationery templates and then save that as a new template. In this way you can build up a portfolio of standard messages that you can use with your customers and prospects.

For example, you could create a message in your stationery with your price list and save it as a template. You could also create a message with descriptions of your products or services, or directions to your office and save those. These templates can be used for new messages as well as for replies and forwards.

  1. Click on the "Compose" button
  2. Click the three dots in the lower right corner of the composition window.

  3. In the menu that appears, select "Templates" and then under "Insert template" select the template you want to use.
  4. This will place the stationery in your message window and you can now address, type, and send your message as you normally would.

To Use your Stationery in a Reply or Forwarded Message

  1. Click on the "Reply" or "Forward" link in the message you are viewing.
  2. Follow steps 2-4 above.
